  • The Development and Alumni Relations Project Coordinator will support, enhance, and reinforce all aspects of the work of the Executive Director of Development and Alumni Relations and the Assistant Vice President of Major Gifts and Campaigns, other members of the development team, and the Vice President of External Relations.  The Project Coordinator serves as a liaison between the Office and the public, alumni, students, faculty, and staff.  
  • Essential Functions

  • Provide administrative, analytical, and project management support for the Executive Director of Development and Alumni Relations (ED) and the Assistant Vice President of Major Gifts and Campaigns (AVP), and the Office of Development and Alumni Relations more generally
  • Manage the daily schedule for the ED and AVP; coordinate travel arrangements and prepare all documents necessary for trips
  • Supervise Office of Development and Alumni relations student workers including hiring, training, evaluation, and scheduling
  • Work closely with the Executive Assistant to the President in coordinating the President’s fundraising activities
  • Create an atmosphere of enlightened hospitality in the Alumni House
  • Assist in the day-to-day management of the Office of Development and Alumni Relations to include monitoring general email and phones, processing reimbursement and requisition requests, maintaining office equipment and supplies, and regularly tracking the budget
  • Manage inquiries from the public, alumni, students, faculty and staff about development and alumni relations
  • Prepare agendas and minutes for all Board of Trustee committees assigned to the ED and AVP and assist as needed in preparing materials for meetings
  • Assist in the gathering of alumni news for the Quarterly
  • Work within the database to provide information updates and data entry
  • Provide necessary support to the ED who chairs the Donor Stewardship Action Team
  • Provide necessary support to the AVP who chairs the President’s Fundraising Team


  • Bachelor’s degree or Associate’s degree with at least 3 years’ work experience in an administrative support position, required
  • Proven excellence in customer service; ability to effectively communicate both in written and oral form, and to represent the office in a highly professional and efficient manner
  • Intercultural competency; ability to work with individuals of diverse backgrounds
  • Project management experience; ability to multi-task
  • Strong written and interpersonal communication skills
  • Ability to develop and maintain collaborative relationships, engage in creative problem solving, and extend enlightened hospitality when working with others
  • Close attention to detail, as well as proofreading, organizational, and time management skills
  • Ability to maintain confidentiality of sensitive issues and information
  • Intermediate knowledge of Microsoft Office and Google, including Word, Excel, PowerPoint, Google docs, Google Calendar and Gmail; experience working with a database preferred
