Student Employment

Working on campus can provide excellent opportunities to develop and hone professional skills, while also earning additional income to offset the cost of college life. The Student Work Office (SWO), which is under the Career Services umbrella and housed in Baxter Hall, works with students to assist them in finding available positions on campus. Once a student is hired, the following steps need to take place in order for the student to begin working.

The Employment Process

  1. The student completes a Student Employment Contract with the supervisor in the relevant department, and the contract is delivered (either via campus mail or by the student) to the SWO.
  2. For students who are working on campus for the first time, there are two additional forms that need to be completed for the student to be able to receive a paycheck.

Required Employment Paperwork

The following forms must be completed and turned into SWO before workers are eligible for a paycheck:
  1. W4 (Tax Withholding Form)
  2. I9 (Employment Eligibility Form)

All forms require the free Adobe Acrobat Reader version 5.1 or higher. Click here to obtain the most recent version.

In order to complete the I9 form, students will need to bring one document that establishes identity (usually a driver’s license or student ID) AND one document that establishes employment authorization (usually a social security card or certified birth certificate). Once a student has completed the employment contract, as well as the two additional documents, an online timecard will be created for them in Connect2 to input and track their hours. The staff in the SWO is available to assist any students who have questions about utilizing the online timecard system.

Paychecks are issued once a month during the academic year and bi-weekly during the summer. The pay date schedule is available by contacting the SWO.
 
Student Employment Positions and How to Locate Them

There are many different student employment positions, and they vary year-to-year. Students may attend an on-campus job fair at the beginning of each fall semester, which gives them a chance to fill out student worker applications and meet with potential campus employers. In addition, students can come to the SWO to find out about openings on campus throughout the year. Here is a short list of some of the types of jobs a student could find on campus:

Student Employment Policies

The Illinois College Student Employment Guide provides policies and procedures for the student employment program. This guide provides a summary as well as addresses the specifics related to student employment. The program includes opportunities for federal work-study eligible students, non-federal work-study students, community service work, and off-campus employment.
